AXON2025 Terms and Conditions

Cancellation Policy

  • Full refunds will be offered before May 1st, with a deduction of administrative costs (50.00 EUR). All attendees who signed up before this disclaimer was published on April 10th will receive a full refund.
  • From May 1st – June 30st: partial refund (50%, with a deduction of administrative costs (50.00 EUR))
  • July 1st – August 15th : partial refund (25%, with a deduction of administrative costs (50.00 EUR))
  • August 16th – September 17th: no refunds granted
  • Exceptions or extenuating circumstances:
    • No exceptions for late arrivals or early departures
    • In case of cancellations due to denied VISA applications, the full registration fee minus a processing fee of 50.00 EUR will be refunded after the congress if the visa was applied for in time. To apply for the refund, proof of timely application together with an official notice from the embassy confirming that a visa could not be granted needs to be forwarded to info@axon2025.com.
  • Hotel booking costs outside of what is alotted to speakers by AXON2025 (2 nights on the ss Rotterdam) will be handled separately by ss Rotterdam.

Cancellation of the conference |Force Majeure

  • If AXON2025 cannot be held or is postponed due to events beyond the control of the organizers (force majeure), UMC Utrecht cannot be held liable by the attendees for any damages. Under these circumstances, the organizers reserve the right to refund the registration fees after deducting the costs already incurred for the organization of the congress which could not be reclaimed from third parties.

Code of Conduct

By registering for and attending the AXON2025 meeting, participants agree to:

  • Treat fellow meeting participants and ss Rotterdam staff with respect, civility and fairness, without bias based on sex, gender, gender identity or expression, sexual orientation, race, ethnicity, color, religion, nationality or national origin, citizenship status, disability status, veteran status, marital or partnership status, age, genetic information, or any other criteria prohibited under Dutch law.
  • Use all ss Rotterdam facilities, equipment, computers, supplies and resources responsibly and appropriately, as you would at your home institution.
  • Abide by the terms and conditions for visitors of ss Rotterdam.

Similarly, meeting participants agree to refrain from:

  • Harassment and discrimination, either in person or online, based on actual or perceived sex, pregnancy status, gender, gender identity or expression, sexual orientation, race, ethnicity, color, religion, creed, nationality or national origin, immigration or citizenship status, mental or physical disability status, veteran status, military status, marital or partnership status, familial status, caregiver status, age, genetic information, status as a victim of domestic violence, sexual violence, or stalking, sexual reproductive health decisions, or any other criteria prohibited under Dutch law.
  • Sexual harassment or misconduct.
  • Disrespectful, uncivil and/or unprofessional interpersonal behavior, either in person or online, that interferes with the working and learning environment.
  • Misappropriation of ss Rotterdam or AXON2025 property or excessive personal use of resources, if attending in person.
  • Videoing or photographing unpublished data shown by plenary speakers or poster presenters; with the exception of explicit permission from the owner
  • Inflicting material damages: You can find the full material damages and house rules policy through ss Rotterdam.
